Position Summary

Job Description

REF: #001

This position is being offered as a temporary maternity leave coverage role. There is potential for the position to become permanent following the maternity leave period, subject to business needs and organizational requirements.

Key Responsibility: Contracts Coordinator

  • Draft, amend, and terminate Consulting Agreements
  • Review amendments and tasks related to existing contracts to extract information required for Consulting Agreements
  • Maintain and manage a register of consultants, including tracking contract renewals
  • Coordinate the onboarding and offboarding of consultants
  • Create, maintain, and update contract records in Salesforce
  • Process contract amendments in a timely and accurate manner
  • Draft NDAs and Teaming Agreements on existing template
  • Provide general support to other members of the Commercial Team, as required
  • Perform contract administration tasks not covered by other administrative functions
  • Other tasks, as required

Key Responsibility: ACSO (Shared tasks with CSO)

  • Manage Security Inbox
  • Inquiries from internal employees/contractors
  • Responses from PSPC (status updates, clearance inquiries, etc.)
  • Process awarded clearances
  • Process VCR approvals
  • Manage Security Queue in Salesforce
    • Clearance verifications, assigned clearances, etc.
    • VCR’s to submit (domestic and international)
  • OLISS responsibilities (assigning/reviewing/submitting clearance applications)
  • Expiring/ Renewing Clearances: Obtaining confirmation details from managers, assign/submit/track progress in SF
  • Termination: Obtain confirmation that clearances can be terminated, go into OLISS and terminate each individually, updating SF.
  • Pending clearances: Reach out to PSPC for status updates on all clearances pending outside of a typical timeframe

Qualifications

  • University degree in relevant area (law, business, criminology, political science etc.), Law Clerk or Paralegal Diploma
  • 1-5 years of work experience in contracts (P1-P2 level)
  • Proficiency in the MS Office suite, primarily Excel, Word and PowerPoint
  • Knowledge and experience in the use of Salesforce PSA would be an asset
  • Ability to read, interpret and analyze contracts
  • Attention to detail
  • Well organized

Additional Information

  • Must be eligible to obtain and maintain a Government of Canada Secret level security clearance.
  • Must be available to work onsite in the Ottawa area 2–3 days per week.
