The ADGA Group is currently seeking a dynamic Bilingual Executive Assistant with strong interpersonal skills and who demonstrates a high level of professionalism.

Purpose of Job:

The Bilingual Executive Assistant will be responsible for general office administration including the preparation of correspondence, reports, statements, and other material. This person will coordinate travel arrangements, greet clients, schedule meetings, answer telephones, verify, record and process forms/documents such as contracts and requisitions.  The Bilingual Executive Assistant will assist with event planning when required. The successful candidate will also perform general clerical duties according to the established procedures.

Primary Duties and Responsibilities:

The typical duties of the Bilingual Executive Assistant will include but not be limited to:

  • Preparing correspondence, reports, statements, forms, presentations, applications and other documents from notes or electronic devices.

  • Respond to telephone, in person or electronic enquiries and forward to the appropriate person.

  • Provide general information to staff, clients and the public regarding company or program rules, regulations and procedures.

  • Photocopy and collate documents for distribution, mailing and filing.

  • Sort and file documents according to established filing systems, locate and retrieve documents from files as requested and maintain records of filed and removed materials.

  • Maintain and prepare reports from manual or electronic files, inventories, mailing lists and databases.

  • Coordinate travel arrangements for executive team.

  • Assist with event coordination on corporate events.

  • Process incoming and outgoing mail, manually or electronically.

  • Maintain inventory of office supplies, order supplies as required and arrange for servicing of office equipment.

  • May sort, process and verify receipts, expenditures, forms and other documents.

  • May organize the flow of work for other office support workers.

Complexity and Judgement:

Works independently towards achieving established goals with overall direction provided by direct report. Follows established procedures and methods in most situations. Decisions will need to be made using good judgment. Work will be monitored through employee/customer feedback, and formal written documentation of performance objectives met.

Scope of Responsibility:

Provide administrative support for any department or team members requiring support services. Initiative and good judgment is required in carrying out all work assignments. Poor judgment and/or lack of knowledge can have financial and legal impact on the company.

  • This is a bilingual imperative position for an experienced Executive Assistant.

  • Minimum of two (2) years of working experience in a similar area.

  • Minimum completion of a two year College program in Office Administration; or an equivalent combination of education and experience with a demonstrated ability to carry out the required duties of the job.
